🔒 Note: Appointment features are only available to approved buyers (hosted and visitor). Press, Trade Visitor and other attendee types do not have access.

    Access the Appointment Tool via the link in your confirmation email. Use your personalised username and create a password. 

  • Complete your profile 
    Upload your photo, job role, and travel focus to attract relevant meeting requests from suppliers. 

  • Book or accept meetings 
    Search the exhibitor directory, send meeting requests, or respond to invitations from suppliers. 

  • Add sessions & networking events 
    Browse the full conference agenda and bookmark key sessions and activities.

Frequently asked questions

How can I access the Appointment Tool?

You should have received an email from The Meetings Show Asia Pacific (noreply@ntmllc.com) with a link to activate your account. Please check your junk folder and add this email address to your safe senders list. 

If you still haven’t received this email, please contact tmsapac.buyer@ntmllc.com, and we will resend. 

Once you have activated your link, you will be redirected to the event platform, where you will be asked to create a new password. After that, you can use your username (the email address used when registering) and password to log in to the platform each time. How do I amend my details?

Your profile contains the information submitted on your registration form. If you would like to change any information, please contact tmsapac.buyer@ntmllc.com

How do I request a meeting? 

As a buyer, once you send a meeting request, it is automatically confirmed in the exhibitor’s diary. 

You can view a list of the companies attending by clicking on "EXHIBITORS" from the top menu. Here you can filter and view the exhibitors before clicking on the calendar icon to book. 

Select the time that suits you (only times that are available in both your and the exhibitor’s diary will appear), then enter a subject, add a message and request the meeting. 

Tip: Try to be as specific as possible with your message, as this will help the exhibitor plan ahead of time. 

I'm unsure who I want to meet with, can you help? 

You can use the filters on the "EXHIBITORS" and "ATTENDEES" lists to narrow down your search. There is also a “RECOMMENDATIONS” button that you can select, which will list the exhibitors who closely match the interests you selected when you registered. 

You will also receive meeting requests from exhibitors who are eager to meet with you. You can review these from the "MY MEETINGS" section under "APPOINTMENT TOOL". Filter to view your incoming meetings, and then take action by clicking "ACCEPT" or "DECLINE". 

How do I reschedule a meeting? 

Click on "MY SCHEDULE" from the top menu. You will be able to view the meetings in your diary. Select the meeting you wish to change, then select “RESCHEDULE”. You will then be able to select the new time and send the request. The exhibitor will be sent a notification of this change. 

How do I cancel a meeting? 

Click on "MY SCHEDULE" from the top menu. You will be able to view the meetings in your diary. Select the meeting you wish to change, then select “CANCEL MEETING”, enter a reason, and then proceed to cancel the meeting. 

Can I sync my diary to my calendar? 

Yes, you can. 

Click on "MY SCHEDULE" from the top menu. You will be able to view the meetings in your diary. Select the option “SYNC TO CALENDAR” at the top of the page; this will sync to Outlook or Gmail accounts. You only need to click on this once; any changes made to your diary will automatically be updated in your calendar every 6 hours. 

I'm unable to book an appointment with the exhibitor of my choice, can you help? 

The calendar button should appear next to each exhibitor listed. If you do not see this button and the company to your favourites by clicking on the star icon next to their name and check back in later as more time slots may become available. 

If you've clicked on the calendar icon and no timeslots are available, it may be because your calendar is already full. You can view your agenda by selecting "MY SCHEDULE" from the top menu. 

We kindly ask that you prioritise meetings over conference sessions. To free up time, remove a session from your agenda, then return to the exhibitor’s page to book your meeting.

Between exhibitor appointments and conference sessions I want to attend, how do I fit everything in? 

We know this can be difficult; however, we ask that you prioritise scheduling your required appointments with the exhibitors of your choice before identifying the conference sessions you want to attend. 

Can I connect with other buyers? 

Yes, you can. 

Select "APPOINTMENT TOOL" from the left-hand side menu to reveal the "ATTENDEE LIST". You can search by name or use the filter to narrow down the list. You can add them to your favourites list by clicking on the star icon next to their name or you can message them directly by clicking on the envelope button. 

Please note: this is only available for hosted buyers, visitor buyers and exhibitors. Non-exhibiting suppliers do not have access to the attendee list.
